Position: FT - Administrative Assistant ($19hr - $22hr)

Essential Functions of the Administrative Assistant:

  • To provide excellent reception and communication with all clients, staff, visitors, and stakeholders. This includes creating an inviting, organized atmosphere and office environment, following office protocol by screening individuals prior to building entry to ensure the safety of all VYH and visitors present and directing callers to the appropriate staff member by having program knowledge to better facilitate connections of customers to the programs.
  • To provide daily management of the reception area and general office areas ensuring the office location is presentable. This includes monitoring and maintaining all office supplies in a timely manner and maintaining records for purchases using program and agency protocol, supporting the processing of all incoming and assigned outgoing communications, such as mail (pick-up and delivery, express and returns), faxes and email on a daily basis, and ensuring the proper functioning of all office equipment and troubleshoot potential problems.
  • Attend and actively participate in committee meetings such as the High Point Office Committee, serving as Co-Chair and serving as a member on the Safety Committee, while assisting the Safety Officer by notifying and keeping them informed of all Safety related matters.
  • Provide daily support to the HR department by completing weekly check in calls to New Hires Onboarding, and adding new hires to the headquarters email group to ensure they receive all relevant communications and updates, tracking and maintaining employees are up to date with Motor Vehicle Registrations, creating and distributing new employee photo IDs and business cards, assisting new hires with I-9 paperwork, and completing monthly internal employee audits.

Minimum Qualifications for the Administrative Assistant:

  • The Front Desk Administrative Assistant shall be a mature individual with the ability to promote the philosophy of all Valley Youth House programs and other related information within the office setting, to visitors, and in other settings, as required. The Front Desk Administrative Assistant will possess strong clerical, computer, and telephone as well as interpersonal skills. This individual must be highly organized and self-motivated.

Physical Requirements of the Administrative Assistant:

  • This individual must meet the physical requirements stated as such:
  • Sedentary work that primarily involves sitting/standing.
  • Reach with hands and arms and sit for prolonged periods of time at a desk, working on a computer.
  • Be able to lift and move and/or transfer packages comfortably to that individuals' ability.
